How to set up Auto Import?

Auto-importing of leads from property portals can save you time and effort in manually recording enquiries from property portals. Currently this feature can be used to auto-importing of leads from Dubizzle and Bayut . It reads email enquiries from your mailbox and fetches the enquirers details and requirements automatically as a new lead.
Depending upon the way your company operates, you will need to choose one of the two ways to set up the auto-import feature in PropSpace:

– If all enquiries are sent to a common email address in your company (e.g: enquiries@yourrealestatecompany.com), then use option A.
– If enquiries for properties are directly sent to the real estate agents’ email addresses, then use option B.

Option A. To enable auto-import of leads if enquiries are sent to a common email address in your company:

1. Navigate to the Admin –> Profile –> XML section, set the XML Email option as ‘Company’.

2. In the the ‘Company XML Email’ field, add in the email address that will be commonly used by your company.

3. Switch to the Leads tab while still on the Profile screen. Scroll to the Import Lead section that needs to be populated next.

  • IMAP: You can get IMAP details from your email server provider, usually it would be mail.yourcompany.com
  • Email: The company email address to which you want to receive the enquiry (same as the company XML email field in the previous step)
  • Password: This is the password for your email address
  • Port: You will need to obtain this from your email server provider, it is most likely to be either 993 or 143.

4. Click the Test connection button to ensure that the connection is successful, else recheck the values entered.

5. Click on the ‘Update Profile’ button to save the changes.

Note: Changes in the existing XML settings from agent to company will cause the agents to get unverified on Property Finder.

Option B. To enable auto-import of leads if enquiries are directly sent to the agents’ email addresses:

1. Navigate to the Admin –> Profile –> XML section, set the XML Email option as ‘Agent’.

2. Navigate to Admin –> Users screen and select an agent to set up.

3. Click on Edit User and populate the Import Lead section.

  • Enabled: Set this option as Yes to activate it.
  • IMAP: You can get IMAP details from your email server provider, usually it would be mail.yourcompany.com
  • Email: Enter the email address of the agent
  • Password: This is the password for the email address entered above
  • Port: You will need to obtain this from your email server provider, it is most likely to be either 993 or 143.

4. Click the Test connection button to ensure that the connection is successful, else recheck the values entered.

5. Click on the ‘Save User’ button, and repeat these steps for each agent.
